Privacy Policy

Our Commitment

Kaia is built on trust. We believe you should control what Kaia knows about your family, and that you should be able to see, edit, and delete that information at any time. This policy explains how we collect, use, and protect your data.

Information We Collect

When you use Kaia, we collect:

• Account information: Phone numbers and names of family members you add to Kaia.
• Messages: Text messages, voice memos, and photos you send to Kaia through your messaging channel. These are used to understand your requests and provide helpful responses.
• Calendar data: When you connect your calendars, we access event information to help manage your family schedule.
• Family Knowledge Base: Information Kaia learns about your family (preferences, routines, dietary restrictions) is stored in your Family Knowledge Base, which you can view and edit at any time.
• Payment information: Processed securely through Stripe. We never store credit card numbers on our servers.

Google User Data

When you connect your Google account to Kaia, we access the following Google data through the official Google APIs using OAuth 2.0:

Google Calendar

We read your calendar events (titles, times, locations, attendees) to help manage your family schedule and check for scheduling conflicts. We also create, update, and delete calendar events at your request.

Gmail

We read your emails to provide relevant context when you ask Kaia about household matters (e.g., upcoming deliveries, school notices, appointment confirmations). We also draft and send emails on your behalf when you explicitly request it. Kaia never reads, drafts, or sends emails without your direction.

YouTube

We search YouTube videos and create playlists at your request, for example, building age-appropriate playlists for children or finding tutorial videos. We do not access your watch history or recommendations.

Google Drive

We store documents that Kaia creates for you (e.g., storybooks, flyers, templates) in your Google Drive. We only access files that Kaia creates, we do not browse, read, or modify your existing Drive files.

How We Store Google Data

Google data is accessed in real-time via the Google APIs. We do not permanently store copies of your calendar, emails, or Drive files. Event details and email context may appear temporarily during message processing to provide relevant responses. Your Google credentials are managed securely by our authentication provider and are never stored directly on our servers.

How We Share Google Data

Google data is processed by our AI provider solely to generate relevant responses to your requests. No other third party receives your Google data. We never sell, lease, or trade your Google data.

Google API Services Compliance

Kaia's use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements.

We do not use Google user data for:

• Advertising, marketing, or serving ads
• Surveillance purposes
• Credit, lending, or insurance decisions
• Selling or transferring to third parties except as necessary to provide the service
• Training AI models on your personal data

How We Use Your Information

• To respond to your messages and manage your household tasks.
• To learn your family's preferences and provide better recommendations over time.
• To send reminders and proactive alerts you've requested.
• To process payments for your subscription.
• To improve Kaia's reliability and fix bugs (using anonymized, aggregated data only).

What We Never Do

• We never sell your data to third parties.
• We never use your data to train AI models.
• We never share data between families.
• We never show you ads or monetize your information.
• We never analyze your data in aggregate for insights we sell.
• We never share your family's content with other families or external parties.

Intra-Family Privacy

Kaia respects privacy boundaries within your family. Direct messages (1:1) between a family member and Kaia are private and never shared with other family members. Group chat messages are visible only to participants in that group. Admin members can view conversation history for oversight, but this access is clearly labeled.

Family Knowledge Base Transparency

Everything Kaia learns about your family is stored in the Family Knowledge Base, accessible through your dashboard. There is no hidden data, no shadow profiles, and no inferred information you cannot see. You can edit or delete any piece of information at any time.

Data Security

We use industry-standard security measures including encryption in transit (TLS), encryption at rest, row-level security on all database tables, and regular security audits. Your data is hosted on secure infrastructure with strict access controls.

Data Export & Deletion

You can export your data at any time in PDF, CSV, or Google Docs format. When you request deletion, your data is permanently removed. No 30-day grace period, no anonymized analytics carve-out. Delete means delete.

Third-Party Services

We use trusted third-party services to operate Kaia. Each service processes only the minimum data required for its specific function. No third-party service has access to your complete family profile. These services include:

• Anthropic (Claude), our AI processing provider, processes message content to generate responses. See the dedicated “AI Services” section below for details.
• Authentication provider, manages your account login and Google OAuth connection
• Database and storage provider, stores your family data with row-level security
• Hosting provider, serves the application
• Meta advertising measurement, uses Meta Pixel and Conversions API to measure public website visits, first messages to Kaia, meaningful engagement, account creation, trial starts and confirmed subscription payments, subject to your applicable consent and privacy choices. This may share browser identifiers, technical device information and hashed contact identifiers with Meta. We do not send family conversations, calendar details, recipes or private dashboard content. For text conversations, we may share a hashed phone number and the occurrence of these events with Meta for ad measurement where permitted. Reply STOP to opt out of future text-related ad measurement and proactive messages. Manage website measurement through Cookie preferences or Your Privacy Choices. We honor Global Privacy Control.
• Whop advertising measurement, measures public website visits, signup events, and confirmed checkout events to attribute our advertising. Depending on your cookie preferences and region, this may use browser identifiers and technical device information. We do not send family chats, calendar contents, recipes, or dashboard activity to this pixel. Manage this in Cookie preferences.
• Payment processor, processes subscription payments securely
• Messaging provider, delivers messages through your chosen channel
• Voice calling provider, handles outbound phone calls on your behalf

All third-party providers are vetted for security and compliance standards.

AI Services

Kaia uses Anthropic's Claude large language model as its AI processing provider. When you message Kaia, your message content (and, where relevant, the minimum context needed to answer it, such as the specific calendar event or email you're asking about) is sent to Anthropic's API to generate a response. We do not send your Google data to any other AI provider.

Anthropic processes this data solely to generate responses for you. Per Anthropic's commercial terms, your data is not used to train Anthropic's models. Anthropic's privacy practices are described in their privacy policy.

If we add or change AI providers in the future, we will update this policy and notify you before the change takes effect.

Voice AI & Phone Calls

If your subscription includes Voice AI features, Kaia may make phone calls on your behalf. Call outcomes and summaries are stored in your account and reported back to you. Kaia identifies itself as an AI assistant during all calls. Call data is subject to the same privacy protections as all other family data.

Children's Privacy

Kaia may be used by families with children. We do not knowingly collect personal information from children under 13 without parental consent. Family admins (parents) control which family members have access and can manage all data associated with minor family members.

Changes to This Policy

We will notify you of material changes to this policy via your registered communication channel or email at least 30 days before they take effect.
